Exchange Online gives every user in your organisation a full-featured business email account hosted securely in Microsoft's cloud. There's nothing to install on a server, no hardware to maintain, and no software updates to manage — Microsoft handles all of that behind the scenes. You simply log into Outlook, whether on your desktop, phone or web browser, and everything is there.

Each mailbox includes email, a personal calendar, contacts, and tasks — all kept in sync across every device automatically. If you add a meeting on your phone, it appears instantly in Outlook on your PC. If a colleague sends you a meeting invitation, you can accept it from your tablet. What's included with Exchange Online?

Every Exchange Online mailbox includes a generous 50GB of storage per user, rising to 100GB on higher plans, with the option to add an In-Place Archive for users who need to retain large volumes of historical email. You also get shared mailboxes (perfect for enquiries@ or info@ addresses), shared calendars, a global address list for your whole organisation, and automatic out-of-office management.

Security is enterprise-grade from day one. Exchange Online includes built-in spam and malware filtering, multi-factor authentication support, and data loss prevention policies that can prevent staff from accidentally emailing sensitive information outside your organisation.

Do I need a separate Exchange Online plan?

Exchange Online is included automatically with all Microsoft 365 Business and Enterprise plans, so if your organisation already has Microsoft 365 you already have Exchange Online — you may just not be using it yet. If you only need email and don't require the full Microsoft 365 suite, standalone Exchange Online plans are also available through Passion Computing.
